Introduction[edit]
ProPresenter is a cross-platform lyric and media presentation program built from the ground up to help make powerful worship productions easy. Taking full advantage of the latest technologies, ProPresenter allows an operator to control a presentation on one screen, while dynamically affecting the visuals and lyrics experienced by an audience on one or more screens. ProPresenter isnʼt just for the house of worship market. You will find Fortune 500 companies, schools, casinos, hospitals, colleges and many other types of non-church businesses using ProPresenter on a daily basis.
Why are we using it at SHC? Audio and Visual media has become a natural part of how we do things in corporate worship at church. Powerpoint and VLC are great, but don’t allow for the kind of seamless integration of worship lyrics, sermon notes, and video that ProPresenter does. In order to make the worship experience least visually distracting, we are migrating to ProPresenter. The idea is that people won’t be distracted by visual glitches and switching between applications, but will be better able to focus on the Lord and worship him, which is why we’re all here. The visual ministry at SHC has become an integral part of worship on Sundays, and so we believe that the same care and attention should be paid to it. Because the worship leaders are busy preparing their team and their set for Sunday, the responsibility of creating the worship lyrics set, and the visual Sunday lineup will fall on the visual person for that particular week. Ideally, that would mean that the visual person would be at worship practice (usually Monday night) to create the lineup and add any songs (not already in the library) being used that week to the library. However, once a comfort level is reached with the software, it’s now easy enough to import the order and double-check things on Sunday morning Then, the visual person would have time to run through the lineup (checking for typos) and making sure that their lineup will go smoothly on Sunday.
How will I know on Monday what the lineup will be on Sunday? As you may or may not already know, our church has started using a tool called Planning Center Online, which allows the easy scheduling of activities throughout the church. Using Planning Center, the lineup for Sunday is created before Monday night by the worship leaders, pastors, and any special activities or guest speakers are added. In fact, even the flow of a particular song is on Planning Center (V1, C, V2, C2, B, C). ProPresenter 5 has a great feature which allows for import directly from Planning Center, which we’ll guide you through later�
The ProPresenter Interface
SongSelect is a subscription-based service that allows you easy access to most Christian songs. Clicking on this button opens SongSelect inside the main ProPresenter window. We have a license to use this service and will talk more about it later when we discuss slide creation.
Getting Started[edit]
Once the computer has started up (the password is “*CHECK DOC NEAR PC” in case you are asked), you will need to start up the projectors.
Launch Safari by clicking the icon in the dock. You should notice two bookmarks in the top bar: These two bookmarks will bring up the remote controls for the projectors. Click “SHC Projector 1 Remote” and click the button to power on the projecter. Now do the same for Projector 2.
They will take 30 seconds or so to come on, and your display will flicker a few times while they are getting adjusted. You can now close Safari or minimize it to the dock. You won’t need it again until the end of the service where you’ll repeat the same steps, except press the button to power down each of the projectors.
Now launch ProPresenter by clicking the button in the dock.

Creating a Sunday Morning Lineup[edit]
Next, in the Playlist section, import a playlist from Planning Center Online using the gear button in the lower lefthand corner. Select “New PCO Playlist”. You will get a dialogue box with all of the Planning Center Plans. You will want to select the “Worship Service (Hockessin)” grouping and then pick the service you would like to create a playlist for.
Click the “+” button.
ProPresenter will automatically find matches (where possible) and put them in the playlist in the order specified in the Planning Center Online plan. If a match is found, the song should show a tiny ProPresenter logo next to it. Where it does not find an automatic match, you will need to either find in the library the correct song or load it from SongSelect. First, however, you will want to convert the playlist to a Non-PCO playlist so it can be edited. Simply right click on the Blue Playlist, and select “Convert to Non-PCO”. Click OK when the dialogue box is presented.
To search the library, simply start typing in the Library search box. If you are able to find the correct song, simply drag it into the playlist at the correct position, and delete the placeholder.
If you are unable to find the missing song in the library, obtain a copy from the worship leader. Now, click the “SongSelect” button on the toolbar. This will bring up a dialogue box.
In the search bar, type the name of the missing song and hit the “Enter” or “Return” key. Click on the individual songs to compare the lyrics in SongSelect with the ones from the worship leader. When you’ve found a match, click the “Import” button.
You will be presented with another dialogue box. Make sure you select the template “Basic Smaller” as shown in the graphic. It is located in the “HBC Standard” template group. You can choose to import into the Library or into your playlist as well.
Make sure your newly added song is in the correct place within the lineup.
Since this is a new song, we will need to clean up the slides. Click on the new song in either the playlist or in the Library to bring up the slides in the slide area.
First, select each grouping (like Verse 1, Chorus, etc.) and assign them to an HBC group as shown below. Right click on the slide, and select Group Label and then the grouping. When you are finished, your slides should be lots of interesting colors. Now we need to add a Title slide. Click the “+” button in the lower lefthand side of the slide area. This will create a new slide. Now drag it to the beginning of the slides until you see a light blue bar. Drop your slide here. Right click on the slide and select Template > HBC Standard > Title.
Now right click on your new slide and select “Edit”. This will take you into slide edit mode. To change the title, double-click on the text object on the slide. Type the title for the slide. When it looks good, leave the slide edit mode by clicking on the “X” in the upper left-hand corner of the slide area.
When everything looks good, there’s just one last thing to do. Click on the little at the top of the slides. This will bring down an info list. Click the drop-down on the right-hand side and change the Category to “Song”. Now click File > Save All.
Rinse and Repeat for any other songs that need to be added.�
SHC Dropbox[edit]
Here at SHC, we use a service called Dropbox to store, send, and synchronize files between the Hockessin Campus and the Wilmington campus. To get to the Dropbox, just click the icon in the dock. This will open a finder window.
Click the Dropbox item in the “Favorites” section. Now click on the HBCPresenter folder. This is the church Dropbox.
To add something to the dropbox, simply drag the file into the Dropbox.
To add something in the dropbox to your ProPresenter playlist, simply drag it from the Dropbox to the playlist. This will add it to your lineup.
Propresenter Checklist[edit]
- Click on Playlist header+ planning center service
- Print schedule safari, planning center, login, click date, print goes to download folder, command p from document, 10 copies so enough for worship team
- Add Sermon graphics file (in Dropbox Sermon Graphics folder) to sermon section
- Right click on this week's playlist convert to standard playlist
- Safari- Turn on projector 1 &2
- Search for sunday morning announcements new slides
- If sermon slides may have to add a new presentation, if need scripture, click on the Bible icon (2 icons to the right of Edit icon)
- If song missing, file import Songselect type in song name get correct version ask song leader, click on playlist and drag into praise and worship list
- To create duplicate song: right click, show in library, right click and duplicate then right click and add to playlist
- To get the song slides in the right format, click on the first slide then press the Command button and shift button and click on the last slide in the song and right click, choose Theme> SHC 2021> 5 Lines. You have to do this for each song individually.
- To get back to playlist scroll to bottom of playlist section
- If lots of sermon notes in jpeg files create new presentation and drag jpeg files into it.
- For Keynote turn audience off then play from keynote advance with arrow
- If Adding video, link in planning center safari or download to hbc presenter smile face icon bottom left, drag into playlist test video and sound make sure sync is off
- Add Sunday announcement slides folder by searching song select Sunday Morning Announcements click on blue pro presenter button. Take out old slides add new ones from hbc presenter
- Make sure words at top of screen right click theme hbc top
- Keep service slide on for a little while then clear all
- When keynote file export to images
- Turn audience off
